Registration

You can register for the Face-to-Face or Online symposium, and can only register and attend the symposium if you are at least 18 years old. Registration is subject to a registration fee, which depends on your registration category (Face-to-Face or online). For further information on the fee, please refer to the ICFM website (foodmycology.org). The payment of the registration fee (in EURO) can be completed by bank transfer only. Finishing your registration constitutes a binding agreement, including the cancellation policy.

Transfer of registration

All fully paid registrations are transferable to other persons from the same organization, if registered person is unable to attend the event. Transfers must be made by the registered person in writing to the Organizers. Details must be included the full name of replacement person, their title, contact phone number and email address. All other registration details will be assigned to the new person unless otherwise specified. The transferred registrations will not be eligible for Refund. Reselling or other unauthorized assignment of your registration will void your registration and you or the purchaser of your registration will not be given access to the Symposium, unless authorized by the Organization. The Organization reserves the right to cancel any registration made by any person or body whom the Organization reasonably believes to be associated with any reselling or unauthorized assignments.

Visa Information

Keeping in view of increased security measures, we would like to request all the participants to apply for Visa as soon as possible. The Organizers will not directly contact embassies and consulates on behalf of visa applicants.

Participation and access to the Congresses

To access the Face-to-Face Congress, you might be asked to present a valid COVID certificate together with your identity card or passport, or any other document or confirmation required by law. To attend the Online Symposium, you must have in place the necessary infrastructure (e.g. internet access, internet bandwidth, web-conference applications or any other IT infrastructure). The ICFM/Organization shall not be responsible or liable if you fail to ensure the necessary infrastructure and cannot attend the Online Congress, even if you have successfully registered and paid for the registration fee. You agree to comply with all applicable laws in connection with your attendance or participation at the Symposium.

Changes or cancellation of the Symposium

The ICFM/ICPA Organization will try to make sure that the information on the programme, scientific sessions, speakers, industry content, abstracts, posters and dates are correct, but cannot fully exclude those circumstances beyond its control may necessitate substitutions, alterations, postponements or cancellations to the content, format, themes, speakers, chairmen, timing or dates of the Symposium. The Organization reserves the right to change the time and date of the programme, live sessions, speakers, industry content, abstracts, posters, on-demand content at any time and will not be liable to you for any cost incurred by you as a result. The Organization will try to notify you in due course of any substitutions, postponements, or changes by e-mail or by publishing these on their website.

In event of cancellation of the Symposium (e.g. as a result of or in connection with the COVID-19 crisis), the Organization liability is limited to the refund of the paid registration fee. In no event will ICFM/Organizers be liable to you for any other damage or loss incurred by you as a consequence of such cancellations. If the registrant is unable to attend, and is not in a position to transfer his/her participation to another person or event, then the following refund arrangements apply: 1) Before 30 days of the symposium: Eligible for Full Refund , 2) Within 30 days of the symposium: Not eligible for Refund. Regarding refunds, all bank charges will be for the registrant’s account.

Responsibility

Delegates are personally responsible for their belongings at the venue. The Organizers will not be held responsible for any stolen or missing items belonging to Delegates, Speakers or Attendees; due to any reason whatsoever.

Insurance

Registration fees do not include insurance of any kind.

Transportation

Please note that any (or) all transportation and parking is the responsibility of the registrant. Transportation to the venue will arranged for participants staying at de Biltsche Hoek, de Bilt, the Netherlands.

Requesting an Invitation Letter

For security purposes, letter of invitation will be sent only to those individuals who had registered for the conference. Once your registration is complete, please contact to request a personalized letter of invitation.

Accommodation Cancellation Policy

Accommodation Providers (Hotels) have their own cancellation policies. Please contact us as soon as possible, if you wish to cancel or amend your accommodation. The Organization will advise the cancellation policy of your accommodation provider, prior to cancelling or amending your booking, to ensure you are fully aware of any non-refundable deposits.

Force majeure

The Organization will not be liable if any of the symposium is, in whole or in part, cancelled, rescheduled or postponed, or for any failure or delay to perform ICFM’s obligations under these Terms, if such event results from anything beyond ICFM’s reasonable control (for example, natural disasters, flood, riots, fire, flooding, acts of terror, war, labour strike, extreme weather, communicable disease such as epidemic or pandemic, malicious damage, compliance with any law or governmental order, or mechanical, electronic or communications failure or degradation, or any other emergency) or anything else that renders performance of any of the Congresses, in whole or in part, impracticable, illegal or impossible.
